Mail Hosting 2.0 – Everything you need to know about the migration

Here are the key details about the upcoming migration phase for your existing mailboxes.

We’re excited to announce the upcoming migration phase following the introduction of our new mail servers. 🙌 In this article, we’ll explain how you, as an existing customer, can benefit from the new servers as quickly as possible and what changes you can expect.


Benefits of the new mail servers

✔️ Catch-all feature in all plans
With the catch-all feature, all emails sent to non-existent email addresses on your domain can automatically be forwarded to a specific mailbox.

✔️ Security features
The new mail servers offer spam and virus filtering, SSL encryption, a blacklist checker, and optional PGP encryption.

✔️ Better scalability and long-term price advantage
After migrating to the new email servers, you can add new mailboxes within your existing email contract, depending on your plan. For technical reasons, however, the mailbox migration itself will be performed on a 1:1 basis.

✔️ Raidboxes Webmailer
Thanks to the webmailer, you can access your emails from anywhere – and of course, ad-free.


Timeline of the migration phases

Starting in February 2026, we will begin scheduling mailboxes for migration to the new servers – and of course, you’ll be informed in good time. You also have the option to postpone the migration or opt out entirely.

Mailbox migration process

We send all announcements and status updates to the email address stored in your Raidboxes profile.

To make sure you receive all relevant information, please ensure that emails from Raidboxes land in your inbox and aren’t automatically filtered, moved, or marked as read. We also recommend subscribing to at least the email preferences for System Messages.

1️⃣ Migration date announcement

Starting in February, we schedule your mailbox migration 7 days in advance and send you an email with the exact migration date. All mailboxes of a domain are always migrated together.

💡 Tip: Prepare for the migration by noting which email clients or services are connected to each mailbox, and block some time on the migration day to reconnect everything. Of course, our support team is available to help with any post-migration steps.

2️⃣ Status updates by email

You’ll receive an email when the migration starts and another one when it’s completed. During the migration, we copy the emails from your mailbox to our new servers – depending on the amount of mail, this can take anywhere from a few minutes to several hours.

Your old mailbox will remain fully functional during and after the migration and can continue to receive emails.

3️⃣ After a successful migration

Your emails will then be accessible via the Raidboxes webmailer. You’ll get access by setting a new account password through the migration overview.

  1. Set your account password (see the migration overview in the dashboard)

  2. Update your email clients/apps (e.g., Outlook, Apple Mail, Thunderbird)

  3. Update any connected services (e.g., SMTP plugins, external newsletter tools)

Setting the account password (Important: do this step first)

In the migration overview, set a new password for your email mailbox. The password must be at least 8 characters long and include uppercase letters, lowercase letters, and special characters. We recommend using a password manager to create and store your passwords.

Afterwards, you can log in to the Raidboxes webmailer using your email address and the newly created mailbox password, or update other email clients and services with the new server details.

Updating email clients (computer, smartphone, or tablet)

If you use apps on your computer, smartphone, or tablet to manage your emails, you’ll need to update them with the new server information.

Regardless of this, after the migration is complete, your emails will be fully accessible via the Raidboxes Webmailer – meaning no emails will be lost even if you haven’t updated your apps or programs yet.

Updating connected services (e.g., SMTP plugins, external newsletter tools)

If you have contact forms or newsletters set up on your website that use your mailbox, you’ll need to update any SMTP plugins or external services (e.g., Brevo).

FAQ

How do you find out which programs need to be updated?

Check the email apps on your devices (smartphone, computer, tablet) and note down which mailboxes are managed through them. Also, go into the settings of your SMTP plugin or any external service that sends emails – for example, contact form inquiries or newsletters – and identify which mailbox is configured there.

Are contacts and calendar data included in the migration?

Only email data will be migrated. Contact and calendar data can optionally be imported afterwards.

Why do I need to reset my mailbox password after the migration?

We don’t store password data for your mailbox and therefore can’t transfer it. That’s why you need to set a new mailbox password.

Will I get support updating my email clients and other settings?

Raidboxes Support will help you as best as possible with updating the server configurations for apps or external services. Just reach out via live chat, email support@raidboxes.io, or book an appointment.

Is migrating to the new mail servers mandatory?

No. The migration is not mandatory, and you can exclude mailboxes from the migration. Please note that this exclusion applies to all mailboxes of the same domain.
