Self managed migration to the new mail servers

Learn how to migrate to the new Raidboxes 2.0 mail servers on your own schedule.

Independently of the managed migrations to the new email infrastructure, you can start migrating your mailboxes yourself at any time.


Migration process at a glance

(1) Select mailboxes for self-managed migration: Use the email overview in your Dashboard to select the mailboxes you want to migrate.

(2) Set a new mailbox password: Define a new password for each mailbox so you can access it immediately after the migration.

(3) Start the migration: The mailboxes of your domain are now queued for migration. You can track the status via the Email Migration Status. In addition, you will receive an email notification when the migration starts and when it is completed.

What happens in the background

(4) Reduction of the TTL value in DNS settings: TTL stands for Time To Live. This adjustment ensures that the later DNS switch to the new mail servers takes effect more quickly.

(5) Your emails are copied: During this process, your old mailbox remains fully available for incoming and outgoing emails. Please note that the duration of the migration depends on the size of the mailbox.

(6) DNS change and final synchronization: The DNS records are switched to connect your domain to the Raidboxes mail servers. Before your old mailbox at mailbox.org is deactivated, a final data synchronization takes place.

After a successful migration

(7) Mailbox ready for use: Once the migration is complete, you can start using your mailbox immediately and access and manage your emails in the Raidboxes webmailer using the new password.

(8) Connect contact forms, newsletter tools, and email clients: Update the new server settings wherever your mailbox is used – for example, on your website for sending order confirmations or on devices such as your smartphone, computer, or tablet. You can find the new server settings at the bottom of this article.


The process in detail

Go to the Email overview in your Dashboard and select Migrate yourself now.

In the next step, you'll see a list of all mailboxes that can be migrated, grouped by their respective domain.

The mailbox migration is possible for all mailboxes whose domains are hosted at Raidboxes and which use the Raidboxes nameservers.

Please note that mailboxes of a domain can only be migrated together, not individually.

Setting the account password and starting the migration

To initiate the migration of individual mailboxes, select the domain whose mailboxes you want to migrate now.

The mailbox password must be at least 8 characters long and include uppercase and lowercase letters as well as special characters. We recommend using a password manager to create and store your passwords securely.

Once the password requirements are met, a green checkmark will appear next to the input field. After new passwords have been set for all mailboxes of the domain, you can click Start migration now.

Tracking the migration progress

In the Email Migration Status, you'll find an overview of all migrations that have been started.

By clicking on a listed migration, you'll be taken to the status overview of the individual mailboxes, where you can track exactly which of your mailboxes is currently being migrated.

Once all mailboxes of your domain have been migrated, the status changes to Completed.

Post-migration steps

Your mailboxes are now located on our new email servers. 🎊

Since you already set new passwords for your mailboxes at the beginning of the process, you can log in to the Raidboxes webmailer right away and will find all of your email data there.

Of course, you can also start with the post-migration setup immediately and update any email clients or SMTP plugins that are connected to your mailbox.
